I’m Hiring: Sub-Contractor for Part-Time Hybrid Virtual Executive Assistant / Marketing Assistant

I’m looking for a Jill-of-all-trades — basically someone who can become my right-hand person across my businesses.

For a little context, I’m a local Newmarket-area entrepreneur, Registered Psychotherapist, wedding officiant, event business owner, and mom. The right person would be helping support the behind-the-scenes operations of my businesses, including Connie Butera Counselling & Psychotherapy, Perfectly Planned Parties & Officiating, and EWG Bouncy Castles. Each business is different, but all are rooted in supporting families, celebrations, community, and connection.

I’m looking for someone who can help keep things moving behind the scenes — from social media and admin to basic bookkeeping, team organization, content coordination, website updates, newsletters, and the occasional local errand. You’ll be supporting a dynamic team of women in business and helping bring some much-needed structure to the beautiful chaos of entrepreneurship.

This is a part-time hybrid subcontractor role available for immediate start, mostly work-from-home, with some occasional in-person work required at our Newmarket office. Hours are highly flexible and can largely be determined by the right candidate, as long as tasks and deadlines are being met.

The role would be approximately 32 hours per month, or about 8 hours per week, at $25/hour. This could be done as one full day per week or spread out over the week based on the candidate’s availability and the current workload.

This is an ideal role for someone who is home with children, a college/university student, or someone looking for very flexible, light part-time work.

The role may also include some light local errands in the Newmarket area as a personal assistant; so the ideal candidate would be local to Newmarket, East Gwillimbury, Bradford, or surrounding areas, and have access to a vehicle.

This role may include:

• Scheduling and organizing social media content
• Helping with captions, Canva graphics, Reels, and content creation/planning
• Editing short-form social media videos using CapCut
• Scheduling posts through Meta Business Suite & Canva's content planner
• Uploading and organizing Google Drive
• Assisting with website updates through our host, YolaSite
• Assisting with newsletters and email marketing through Constant Contact
• Organizing files, forms, spreadsheets and documents
• Supporting team communication and organization
• Helping plan team meetings, team events, and internal updates
• Communicating with team members for content creation, scheduling, and coordination purposes
• Basic bookkeeping support through QuickBooks Online
• Reconciling expenses in QuickBooks Online
• Supporting admin tasks across multiple small businesses
• Occasional local errands in the Newmarket area

The ideal candidate is:

• Tech-savvy and comfortable learning new systems
• Local to Newmarket, East Gwillimbury, Bradford, or nearby areas
• Able to attend the Newmarket office as needed
• Able to complete occasional local errands
• In possession of a valid driver’s licence and access to a vehicle
• Comfortable working as a self-employed subcontractor
• Comfortable signing a subcontractor agreement and confidentiality agreement

Experience with the following is strongly preferred:

• Microsoft Office, including Word and Excel
• Canva
• CapCut
• Meta Business Suite
• Google Drive
• QuickBooks Online
• Basic bookkeeping/admin support
• YolaSite or similar website management platforms
• Constant Contact or similar newsletter/email marketing platforms

A laptop can be provided if needed, along with access to all required company software and systems.

This position would be as a self-employed subcontractor, not an employee position. The successful candidate would be responsible for submitting invoices for services provided and would be paid by email money transfer/e-transfer.

This would be a great fit for someone with experience as a virtual assistant, executive assistant, marketing assistant, social media coordinator, bookkeeper, or administrative support person — especially someone who loves variety and enjoys helping small businesses run more smoothly.
